Summary Job Description

The Covenant Day School admissions associate position is a warm and caring individual who enjoys relational and customer service efforts along with detailed administrative work.  He or she is responsible for providing support and assistance to the school’s admissions process to enhance fulfillment of the school’s mission.  Reporting to the Admissions Director, the position will be a year-round, full-time (7:30 a.m. to 4:00 p.m., Monday through Friday), hourly (non-exempt) role.

Essential Functions and Responsibilities

Duties Include:

  • Serving as a positive advocate for the school in all duties and responsibilities.
  • Providing administrative assistance to the Admissions Director, including:
    • answering phone calls and emails to admissions,
    • sending information packets to inquirers, 
    • scheduling campus tours,
    • communicating by phone, email, and in person with prospective families,
    • creating and maintaining applicant files,
    • managing the application process (including printing and uploading all documentation) for each applicant assigned to this role and ensuring that all files are ready for the admissions committee on time (approximately 100 files)
    • creating purchase orders and assisting with purchasing decisions,
    • maintaining the Calendly scheduling system for the admissions team,
    • reserving necessary room space and equipment requirements for admissions events,
    • scheduling admissions testing, shadow visits, and interviews.
  • Giving campus tours to prospective families, students, visitors, and other interested parties.
  • Supporting admissions open houses and other similar activities by planning, coordinating, attending, and representing the school at such events.
  • Organizing and coordinating on-campus assessments for all JK-5 applicants (including scheduling, reserving space, mail merging test sheets and name tags)
  • Managing the automated admissions system database and processes for enrollment application intake, documentation, and communications with parents, including database clean-up.
  • Running reports from Facts to compile data as needed by the Admissions Director,
  • Updating admissions literature annually as needed,
  • Participating in high school and preschool fairs to recruit prospective students,
  • Assisting with the Independent School Entrance Exam administration,
  • Taking initiative to find new and creative ways to make the admissions experience better for prospective families; serving as a team expert on technical, systems and database topics.
  • Taking initiative to improve processes and efficiencies.
  • Supporting the on-boarding process for enrolled new families, including administration of the Ambassador Program and planning new family orientations.
  • Serving on the Admissions Committee.
  • Working with a servant’s heart, desiring to be part of a team to meet school admissions needs.
  • Other duties as assigned by the Admissions Director or Head of School.

 

Qualifications

  • Previous experience in office reception and/or administration strongly preferred.
  • Strong administrative skills and computer proficiency, including: 
    • Microsoft Office Word, Excel, PowerPoint, and Outlook
    • excellent phone skills and manners; excellent writing skills;
    • database experience required (preferably in Access and Facts)
  • Demonstrated dedication to always providing excellent customer service.
  • Excellent interpersonal skills and ability to communicate effectively and professionally with various school constituents such as parents, visitors, students, other faculty/staff, and vendors.
  • Demonstrated ability to serve with initiative and proactive approaches.
  • Capable of maintaining the greatest degree of confidentiality and professionalism in all matters.
  • Able to work under pressure both independently and within a team-oriented environment.
  • Bachelor’s degree required.
  • Able to lift up to forty pounds and walk around campus frequently in any weather.
